Payment and Refund Policy

Payment Terms (for Institutional Repository)
Payment for paid Institutional Repository plans is processed either through Manuskrito’s integrated payment gateway or via invoice, depending on your chosen plan and region. All payments are governed by these Payment Terms and by the general Manuskrito Terms of Use and Privacy Policy.
Currency and Invoicing
Invoices and recurring charges for institutional plans are issued in Philippine Pesos (PHP), unless otherwise specified in writing.
For institutions outside the Philippines, Manuskrito may, at its discretion, issue invoices in an alternative currency (e.g., USD) and clearly state the currency and applicable conversion method.
Payment Methods
Manuskrito accepts payments via credit/debit card, bank transfer, and other electronic payment methods made available through our platform or invoicing process.
When payment is made via bank transfer or similar method, payment is considered effective only upon clearance of funds into the designated account.
Billing Cycles and Deadlines
Recurring subscriptions (monthly or annual) are billed on a fixed billing cycle based on the start date of the plan.
The next billing date is automatically determined by the subscription type (e.g., same‑day‑each‑month or same‑day‑each‑year), regardless of when the subscription is activated.
Manual Payments and Plan Activation
For manual payments (e.g., bank transfer or OTC deposit), activation of the requested plan to your account may take 24–48 hours depending on bank clearance and Manuskrito’s internal review process.
Service access is not retroactive to the date of manual payment; activation begins only after Manuskrito has confirmed clearance and completed its review.
Late Payments
If payment for a paid plan is overdue beyond the stated due date, Manuskrito may, in the future, apply a fee only after providing advance notice in writing.
Any such late‑payment fees will be clearly reflected in the next invoice or billing statement, and will be charged in addition to the original subscription amount. Manuskrito currently does not charge automatic late‑payment penalties, but reserves the right to introduce them under these terms.
Manuskrito may, at its discretion, suspend access to paid features if late fees or other outstanding amounts remain unsettled after the applicable grace period, until such amounts are cleared.
Validity and Protection Against Fraud
Manuskrito may request additional proof of payment (e.g., bank‑transfer confirmation, reference number, or screenshot) before recognizing a payment as valid.
Manuskrito will not consider a payment valid unless it can be independently verified through:
• Bank‑statement‑level proof,
• Payment‑gateway confirmation, or
• Other documented evidence provided by the Institution.
Manuskrito is not liable for payments made to unauthorized parties or channels that falsely represent themselves as Manuskrito or ChordexBio. Institutions are advised to make payments only through the payment methods and channels expressly listed in Manuskrito’s official documentation or invoices.
Service Access and Late or Disputed Payments
If payment for a paid plan is overdue by more than 5 days after the due date, Manuskrito may temporarily restrict access to premium features (e.g., increased storage, advanced analytics, or API access) while preserving core repository functionality.
Access to paid features may be fully suspended if payment remains outstanding for more than 10 days, unless Manuskrito agrees in writing to a different arrangement.
Manuskrito is not liable for any loss of access or disruption arising from late payment or suspected fraud; institutions are encouraged to maintain local backups of critical records.
Refunds, Prorations, and Plan Changes
Institutions may cancel or downgrade their subscription at any time; no refund will be issued for the unused portion of the current billing period.
If an Institution upgrades its plan mid‑period, the current plan will be deactivated immediately with no refund, and the new upgraded plan will take effect immediately. The billing cycle for the new plan will reset from the upgrade date, and the next invoice will reflect the new plan pricing from that point forward.
Manuskrito may not charge automatic late‑payment penalties, but may in the future introduce such penalties only after providing advance notice in writing.
Data Privacy and Payment Information
Any payment information collected (e.g., card details, bank information) is managed in accordance with the Manuskrito Privacy Policy and relevant data‑protection laws, including the Philippine Data Privacy Act.
Manuskrito does not store full credit‑card numbers or sensitive banking credentials; these are handled by our third‑party payment gateway or banking partner under contractual safeguards.
Institutions are responsible for ensuring that their payment‑decision‑makers have the authority to bind the Institution to these Payment Terms, as described in the Institutional Repository Terms of Use.
