It provides a centralized database and repository infrastructure for academic manuscripts, innovation records (patents, clinical trials, trademarks), and related research outputs. This Privacy Statement explains how we collect, use, store, and share personal data in connection with your use of Manuskrito, including submissions, institutional repositories, and third‑party integrations.

We may collect the following categories of personal data, depending on your role (author, researcher, student, institutional representative, or user):

- Institutional and community data: For institutional repositories, we may collect institutional identifiers, contact persons, department lists, and other administrative details needed to set up and manage your repository within Manuskrito.
- Usage and technical data: IP address, device type, browser information, log files, search queries, download activity, and other analytics collected through our backend servers to monitor performance, security, and user behavior.
- Data from third‑party integrations: Where applicable, we may receive limited metadata (e.g., publication identifiers, author names, affiliations) from CrossRef, DOAJ, Semantic Scholar, Unpaywall, PubMed, and other external services in connection with our search and indexing features.
We only collect personal data that is necessary for the stated purposes and do not generally require highly sensitive information (e.g., health data, biometrics) unless explicitly relevant and consented to in a separate context.
3. How we use your personal data
a. For authors and general users
- Create and manage user accounts and access to Manuskrito’s search and repository features.
- Receive, screen, and process manuscript or innovation‑record submissions.
- Communicate with you regarding submissions, status updates, or notices.
- Provide analytics and usage reports (in aggregate or anonymized form) to improve Manuskrito’s services.

b. For institutional repositories
For institutions that set up their own repositories within Manuskrito:
- We use collected institutional and contact data to configure and manage your repository (school, department, organization, or similar community).
- Institutions retain control over their own data and may choose to keep submissions open, restricted, or embargoed, depending on local policies.
- Manuskrito may combine or “composite” record metadata from institutional repositories into the general search feature to improve discoverability of Philippine academic output, unless restricted by institutional policy or explicit opt‑out.
c. For Continuity by Plethoryt partnerships (royalty access)
Manuskrito partners with Continuity by Plethoryt (continuity.plethoryt.com) to manage submissions and royalty‑related access for certain research outputs.
- Data shared with Continuity may include author identifiers, submission details, and contact information, strictly for the purpose of enabling royalty systems and access management.
- Such sharing occurs only to the extent necessary and is governed by contractual safeguards and this Privacy Statement.
d. For analytics and system improvement
We analyze server‑side logs and usage data to monitor system performance, detect abuse or security incidents, and refine search behavior and user experience. These analytics are managed internally through Manuskrito’s backend servers and are not shared with third parties in a way that reveals individual identities, except in aggregated or anonymized form.
4. Data sharing and third parties
Manuskrito may share personal data under the following circumstances:
- Service providers and partners: We may share data with trusted service providers (e.g., hosting providers, cloud infrastructure partners, Continuity by Plethoryt) only to perform services on our behalf and subject to confidentiality and security obligations.
- External academic and indexing services: To support search and discovery, Manuskrito may fetch or index metadata from external systems such as CrossRef, DOAJ, Semantic Scholar, Unpaywall, PubMed, and similar sources.
- Legal and regulatory requirements: We may disclose personal data when required by law, regulation, legal process, or valid government request.
- Institutional cooperation: Institutions retain ownership and control of data within their repositories; however, Manuskrito may use aggregated or anonymized metadata for system‑wide search, analytics, and reporting purposes.
We do not sell your personal data to third parties for marketing or advertising purposes.
5. Data storage, security, and retention
- Storage: Personal data and manuscript records are stored on secure servers managed by Manuskrito and its cloud partners.
- Security measures: We implement technical and organizational measures (e.g., encryption, access controls, logging, and periodic security reviews) to protect against unauthorized access, loss, or misuse.
- Retention: Manuscript and innovation records are generally retained for the normal archival life of the content. Personal data that is no longer necessary for the stated purposes will be securely deleted or anonymized.
6. Institutional repositories and data control
- Institutional control: Institutions retain ownership and control over their data, including access policies and record updates.
- Composite search: Manuskrito may use metadata from institutional repositories to power the general search feature, unless restricted by institutional policy or explicit opt‑out.
- Data collection: Institutions are responsible for ensuring that the collection of submitter information (names, affiliations, contact details) complies with applicable privacy laws.

- Access to and rectification of your data.
- Requesting deletion or restriction of processing.
